How many users can log into the portal?

The license for SharePoint Vitals Enterprise is farm-based, so it supports an unlimited number of users. The free Standard edition supports up to 100 users, and the Professional edition is suitable for organisations with fewer than 300 users.

Where is data about my SharePoint sites stored?

All data gathered about your SharePoint deployment is stored in a securely hosted Azure SQL database, and using the Windows Azure Table Storage service. Data in SQL tables is relational and structured, whereas Azure Table Storage is designed to store very large amounts of non-relational, unstructured data. Based on independent audits, Azure is one of the world's best cloud storage facilities.

What type of data is stored?

We do not collect any document or content information from your SharePoint environment. This allows us to comply with all international and national privacy regulations. Information that SharePoint Vitals does collect and store includes web URL, SharePoint site name, account name, external IP address, page load times and time on page values.

How long is my data stored?

We store all data collected from your SharePoint deployment for all time, from the moment you install SharePoint Vitals to the moment you deactivate it. This means you can access and compare statistics across time, whenever required.

How does SharePoint Vitals show my data so quickly?

The data is processed with Azure Tables and aggregated hourly with timer jobs to "cache" the results. If you ever encounter any technical issue or delay, please contact us at hello@sharepointvitals.com for assistance. for assistance.

Will I be able to get back all my data?

Yes, of course. At any time, contact hello@sharepointvitals.com for assistance. with your request. We will then schedule a dump of all your data to an Excel document and send this to you within 48 hours.

How does SharePoint Vitals communicate with the cloud?

Once the SharePoint sandbox code is activated on a site collection, a hidden web part is placed on every page in the collection. This web part contains two lines of code that contact SharePoint Vitals in Azure and start the transfer of requested information from host headers and requests. The communication takes place at the users' front end, rather than at the server backend. In other words, the server never communicates any of your information to the "outside world". User processes pass required information to secure Azure-based storage, over a secure HTTPS connection. All data is encrypted and only requested data is sent.

What ports are used?

Only port 443 is used to transfer any information from your SharePoint environment to the SharePoint Vitals Azure-based location.

What process do I follow to install SharePoint Vitals?

Anyone with SharePoint Site Collection Administration rights can easily install SharePoint Vitals, using the unique key provided on download or purchase. During the installation process, a sandbox code Windows SharePoint file (WSP), which is compliant with SharePoint Online, must be uploaded and activated for each site collection.

I need help installing SharePoint Vitals

SharePoint Vitals is a sandboxed solution that must be activated on each site collection you wish to monitor. Contact us at hello@sharepointvitals.com for assistance. for easy step-by-step installation instructions and any other assistance you might need.

Is your product installed on our computers or it is in the cloud (on-prem or saas)?

Vitals is frontside code installed on the SharePoint web front end which then calls a cloud based API located on Microsoft Azure. This is activated by the user and not the server and has no impact on the delivery of the SharePoint page or user experience.

Do you track any social activities in SP?

No we do not do this with On-Prem and currently not on the roadmap as we wait for Microsoft feedback on their direction with their social platform direction. We will do this with Office 365 and on our roadmap for 2018.

Can we track a navigation routs via your product?

We have two reports that may assist with this, Site Map and Page Clicks

Is there a possibility to track a portal growth?

We don’t monitor this as its out of the box with SharePoint Site Metrics

Are there any info on the content (type (specifically videos), ranking etc)

Video Reports show how many times a video has been watched, for how long and what users.

Is there a possibility to make surveys on portal and personalize them?

We don’t provide this as its out of the box functionality with Microsoft Forms

Can we make a pop-up messages in a SP using your product?

It is not a feature at present, it is possible based on how we have created the solution.

Do you use any metrics to make a behavioral segmentation and as a consequence save a behavioral profiles?

No, this is not on our roadmap yet either.

Is it possible to set and track goals?

Not yet, this is a feature on the roadmap for 2018

Does the software offer API integration?

Yes

Can we anonymize personal data?

Yes

How does the solution effect the SharePoint performance?

No performance change

What technical method do you use to collect analytic data?

SharePoint On Premises leverages the frontend hidden web part which connects to our Azure cloud centralised server and requests user data. Same as how Google Analytics works. SharePoint Online we don’t use this method anymore as it doesn’t monitor all items. We now leverage audit logs which enables us to track all actions across the tenant not just SharePoint. We keep the data for all time and aggregate it into reports and our API for super quick and efficient response.

Do you track modern pages/sites?

Yes

If we need a specific customization for our portal, can we request it?

All customer requests are welcome – based on internal discussions we will proceed to move the request to roadmap if it fits with our long term vision.

Do you connect to the SharePoint API or database? If so what kind of permissions are required in order to track SharePoint on-prem and SharePoint Online?

No permissions are required for SP On-prem. SharePoint Online we require a Global Admin to access the audit logs and setup our API integration.
